Summary
This is a part-time position with French & Pickering Creeks Conservation Trust with 1,000 hours budgeted for 2025. The Financial Assistant is expected to work an average of 20 hours per week with flexibility as needed for work-life balance and to support full-time staff during times of peak need. The position provides direct support to the Financial Manager, the Executive Director as needed, and the Director of Development for specific reports and updates. The expectation for this position is to grow throughout the year and provide a smooth transition when the Finance Manager retires from full-time work at the end of the year. This position will be assessed throughout the year to determine the best way to meet the mutual needs of the employee and company leading into 2026. This position is located at French & Pickering’s office at 4030 S. Whitehorse Rd, Devault, PA and is eligible for hybrid work consideration.
Essential Duties and Responsibilities
- Data entry – Recording donor and donation information in QuickBooks (our financial accounting software) and comparing with Donor Perfect (our donations database).
- Produce timely and accurate reports. From time to time, funders require specific deliverables on an interim and/or project close out basis. Tracking associated expenses and properly attributing them (in collaboration with the project team and Executive Director).
- Process payment of invoices and accounts payable including assignment to proper cost center(s).
- Track revenue received in hard copy and electronically.
- Categorize and enter revenue received into QuickBooks and scan for appropriate distribution and electronic record keeping. The Financial Manager will primarily provide guidance and supervision. Access to online training will also be provided
- Execute and ensure timely bank deposits as needed.
- Reconcile accounts and records for general accounting integrity and generation of reports.
- Assisting with the preparation and coordination of special events as needed.
- Support the Financial Manager to complete the annual audit in a timely manner.
- Become knowledgeable of the duties and responsibilities of the Financial Manager, gain relative proficiency regarding the organization’s financial systems, accounting, and how to ensure smooth and continuous operations.
- Entering contact information for program, event, and lecture participants accurately and in a timely manner.
- Updating records with changes and assuring consistency in information format.
- Other duties as assigned.
Requirements
- Demonstrated knowledge of financial accounting principles with strong computer and database skills.
- Respect and maintain confidentiality of data and information.
- Maintain a positive and professional demeanor when interacting with staff, vendors, donors (and their representatives), and the Treasurer
- Be dependable and punctual
- Attention to detail with accurate data entry and analysis
- Be self-directed and willing to take initiative
- Working knowledge of Word Perfect, Excel, data entry and database management with enthusiasm towards learning software, processes, and procedures unique to French & Pickering.
- Experience with QuickBooks and Donor Perfect or similar financial and donor software preferred but not required
- Experience with bookkeeping, audits, accounts payable, and financial reporting are highly desirable.
Training & Supervision
- Complete office orientation which includes training on the following items:
- Database (DonorPerfect) tutorial
- Acknowledgement letter creation & filing system
Time Commitment
An average of 20 hours/week with a minimum of three consecutive hours a week in either the morning (9am-12pm) or afternoon (12-3pm), Monday through Friday directly coordinated with the Financial Manager at least seven calendar days in advance. There is a maximum of 1,000 hours for the year of 2025 with weekly hours based on the employee’s availability, their skills and proficiency, the needs of French & Pickering, and staff availability to train and supervise.

Compensation
- Compensation for highly qualified applicants is $30.00/hour.
- Time off is not paid but will be approved within reason and flexibly scheduled in collaboration with the Executive Director and Financial Manager.

French & Pickering Creeks Conservation Trust works collaboratively with individual landowners, local and state governments and other conservation organizations to ensure the preservation of the French and Pickering Creeks watersheds, which contain some of the most scenic lands in Pennsylvania.
